How is property management bookkeeping different from regular bookkeeping?
Property management bookkeeping has rules and workflows that general bookkeeping does not cover well. Trust account compliance, security deposit tracking, per-property profit and loss statements, owner statement preparation, and software-specific reconciliations are all standard parts of the job. A general bookkeeper unfamiliar with these requirements can create costly errors or compliance exposure. OJO Bookkeeping was built specifically around these workflows.
What software do you work with?
Our team is trained in AppFolio, Buildium, Rentvine, QuickBooks, and Xero. We are an Official Partner with both AppFolio and Buildium. Whatever you currently use, we work inside your existing setup. No migrations, no software changes, no disruption to your team.
What kind of bank account access do you need?
Read-only access. We can view transactions and statements to reconcile your accounts, but we cannot move money, initiate transfers, or make any changes. You retain full control of your accounts. This setup lets us do our job efficiently while keeping your funds safe.
How much does it cost?
Pricing starts at $34/hour and is based on the actual hours your books require, so cost scales with your portfolio’s complexity. There are no per-door fees or bundled software charges. Cleanup and catch-up work is billed at $45/hour and scoped separately before ongoing work begins. Most clients invest a fraction of what an in-house bookkeeper would cost when you factor in salary, benefits, training, and software. Is there a long-term contract?
No. We do not require a long-term contract, and we offer a 30-day money-back guarantee. If we are not the right fit, you can cancel at any time. The vast majority of clients who start with us stay because the service works.
How long does it take to get started?
Most clients are fully onboarded within two weeks of signing. The first week is setup and access. The second week, your dedicated bookkeeper takes over the day-to-day. If your books need cleanup or catch-up work first, we will scope that separately so the ongoing work starts on a clean baseline.
What if my books are a mess right now?
That is one of the most common reasons property managers come to us. We do cleanup and catch-up work as a separate engagement before ongoing bookkeeping starts, so you get a clean baseline to build from. We have rebuilt years of misreconciled trust accounts. Your situation is not too far gone.
Is there a minimum portfolio size?
Most of our clients manage 50 units or more, which is where our service tends to make the most economic sense compared to keeping bookkeeping in-house. That said, we have made exceptions for smaller portfolios where the work is complex enough or the property manager wants to scale quickly. If you are under 50 units, schedule a call and we will tell you honestly whether we are a fit right now or whether you might be better served revisiting in a few months.
